USAJOBS Resume PDF Too Large? Compress It Under 5 MB

Federal resume ready, but USAJOBS will not accept the PDF? The file may simply be too large. USAJOBS.gov requires resumes to be 5 MB or less, and PDF is the recommended format for preserving your layout across different hiring systems.

Pick the USAJOBS preset in FitMyPDF, and the tool will target 4.8 MB, a safe size under the limit. Your file stays in your browser, so nothing is uploaded while you check the size.

While using the browser tool, your PDF is processed locally in your browser. Select the preset, upload your resume, and download a smaller copy when it fits.

How to compress a resume under 5 MB for USAJOBS

Select the USAJOBS preset in the Upload Destination options. FitMyPDF will set the target to 4.8 MB automatically.
Upload your resume PDF. The diagnosis panel will tell you if it is text-based or scanned, and the readiness card shows whether it already fits.
Use Best Readability mode. Your resume needs to stay sharp for recruiters and ATS systems to read names, dates, job titles, and contact details.
Check the preview before downloading. Make sure section headings, bullet points, and contact information are not blurred or broken.
If your resume is still over 5 MB, check whether it includes embedded images, scanned certificates, or custom fonts that can be removed.
Compress additional documents (DD-214, certificates, transcripts) separately when the application allows multiple attachments.

Why your USAJOBS resume upload may fail

  • The file is larger than 5 MB. USAJOBS rejects attachments over this limit.
  • The resume includes high-resolution images or embedded photos. These can push a simple document well past 5 MB.
  • Scanned documents combined with the resume increase the file size significantly.
  • The format is not PDF. USAJOBS recommends PDF because it preserves formatting across different systems.

Avoid blurry resumes

  • Maximum Compression mode can make text blurry or convert pages to images. Avoid it for resumes.
  • Best Readability mode preserves text sharpness and keeps your resume layout intact.
  • If you need a smaller file, try reducing image sizes in your word processor before exporting to PDF.
  • Always preview the compressed file before submitting your application. Recruiters and automated systems need clear text.

Frequently asked questions

What is the USAJOBS resume file size limit?

USAJOBS requires resumes to be 5 MB or less per file. PDF is the recommended format. Verify the current limit on the USAJOBS website.

Is FitMyPDF affiliated with USAJOBS?

No. FitMyPDF is an independent tool. We are not connected to USAJOBS or any government hiring system.

Does compression affect how my resume looks to recruiters?

Light compression usually keeps the layout intact. Avoid Maximum Compression so text remains sharp and ATS-friendly.

Why target 4.8 MB instead of exactly 5 MB?

A small buffer helps avoid rounding or overhead issues. Some portals calculate file size slightly differently, and the margin keeps your upload safe.

What if my resume is still over 5 MB after compression?

Remove embedded images or scan certificates separately. If the resume itself is the issue, try recreating it from your word processor with lower resolution images.

Can I use this tool for scanned documents?

Yes. FitMyPDF handles scanned PDFs and recommends Grayscale Scan for black-and-white documents. Check the preview to ensure text remains readable.

Does my file upload to your server?

No. The tool runs in your browser. Your PDF is processed locally and nothing is uploaded to our servers.
